How many times have you re-used the same graphic to demonstrate a methodology your company follows to accomplish a task? Probably too many times to count!
Proposal graphics libraries can help streamline your proposal management process. Here are some tips on how to keep them fresh, organized, and useful!
You never know when you’ll need to re-use the same graphic again, or at least key elements of it. Your methodology graphics can be used and repurposed time and time again, and customized to match your needs for the current proposal you’re working on, PROVIDED you have that editable file!
On a letter size piece of paper in portrait orientation, you have approximately 6.5 inches of working room provided your margins are 1 inch all around. DO NOT forget that important detail. If you make your graphic on a large canvas using size-10 “compliant” font, when you shrink your graphic to fit, your font is NOT going to be compliant anymore!
I’d recommend categorizing your graphics by core competency instead of customer. This way, if you have a PMO graphic that would work between two different agencies, all you need to do is go to your “PMO” folder to find that graphic instead of trying to figure out what the last iteration was in which customers’ corresponding folder.
In the bottom corners, you might be able to categorize your graphics with a code that would correspond to your file structure do when you go hunting for the same graphic’s editable file later, it’s right there waiting for you!
So many things happen when proposal are evaluated. Some folks maybe colorblind and unable to tell colors apart. Other times, the graphic may have been printed in grayscale. If your graphic is super hard to understand without relying on colors, figure out another way to get your point across. Symbols and shapes work better in a lot of cases!
Customer names, agencies, partners, projects…all these small details are important! If you accidentally call Dol DoD throughout your proposal, you’re just going to cause confusion and show your customer that you lack the attention to detail that is needed to complete the project you’re going after in the first place!
